This policy explains how Maths Launch collects, uses and protects personal information when schools and staff use the service.
1. Who is responsible for your information
Maths Launch is the trading name used for this service. For the purposes of the UK GDPR and Data Protection Act 2018, the service operator is the controller of personal information used for account administration, billing, support, security and operating the Maths Launch service. Contact the controller at contact@mathslaunch.com.
Schools are responsible for deciding who should have staff accounts and for information their administrators provide about invited users. The service is not designed to hold pupil personal data.
2. Who this policy covers
This policy covers prospective customers, main administrators, invited teachers, other authorised school staff, website visitors and people who contact us. Maths Launch accounts are intended for adult school staff. Pupils do not create accounts and are not intended users of the website.
3. Information we collect
Account and school information
Names, work email addresses, school name, school email domains, role, account status, email-verification and invitation status, authentication identifiers and session information. Passwords are handled by our authentication provider and are not available to Maths Launch in readable form.
Service information
Planner pathways, term and week selections, blocked weeks, ordered topic choices, planner sharing and rollover records, starter topics and difficulty choices, starter launches and question variants, and related timestamps. We also keep limited account, security and administrative event records, including invitations, administrator transfers and deleted teacher membership records.
Subscription and payment information
Billing contact details and references supplied by Stripe, together with Stripe customer, checkout, subscription, invoice, refund and dispute identifiers, status, dates and amounts. Card and bank details are entered directly into Stripe and are not stored by Maths Launch.
Contact and support information
If you use the Contact page, we collect your name, email address, subject and message. The notification delivered to our support mailbox also includes your IP address and browser user-agent string. Form timing, a hidden anti-spam field and a Cloudflare Turnstile challenge token are used to detect automated abuse.
Technical and security information
IP address, browser and device information, request and response details, authentication and session events, timestamps, error information and security logs generated when the service is accessed.
Where information comes from
We receive information directly from you, from your school's main administrator, from your use of the service, and from service providers such as Neon, Cloudflare and Stripe.
4. How and why we use it
Provide the service — contract
To set up and authenticate accounts, provide planners and starters, manage school users, process subscriptions, provide support and communicate about the service. The information is necessary to enter into or perform the service contract.
Operate safely and effectively — legitimate interests
To prevent fraud and abuse, secure accounts and systems, diagnose faults, maintain reliable records, answer enquiries, improve the service and establish or defend legal claims. Our legitimate interests are providing a secure, supportable educational service and protecting users and the business.
Meet legal duties — legal obligation
To keep appropriate tax, accounting and transaction records, respond to lawful requests and comply with data-protection, consumer, payment and other applicable legal requirements.
We do not use personal information for third-party advertising, sell personal information, or carry out solely automated decisions that produce legal or similarly significant effects. We do not currently send marketing emails. If optional analytics or marketing is introduced, this policy and any consent controls will be updated first.
5. Who we share information with
We share only what is needed with:
Neon, which provides managed authentication and the PostgreSQL database;
Cloudflare, which provides hosting, delivery, security, Turnstile and email routing;
Stripe, which provides Checkout, payment processing, subscriptions and the billing portal;
Mailtrap, which sends transactional and support-related email;
Google, whose Gmail service receives and stores messages sent to our support address;
professional advisers, insurers, auditors, regulators, courts or law-enforcement bodies where reasonably necessary or legally required; and
a buyer or successor if the service or its business is reorganised, sold or transferred, subject to appropriate confidentiality and data-protection safeguards.
Within a subscribing school, the main administrator can view and manage staff account details. Planner content is personal to each user unless an administrator uses the sharing feature, which replaces selected pathway planners for teachers at that school.
6. International transfers
Some providers may process personal information outside the United Kingdom. Where this is a restricted transfer, we require an applicable UK adequacy regulation or appropriate safeguards such as the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism. You may contact us for more information about safeguards relevant to your information.
7. How long we keep information
Active account, planner and starter information is kept while it is needed to provide the subscription. Core school service data is normally retained for up to 12 months after paid access expires to allow reactivation, then deleted or anonymised unless an exception below applies.
Authentication identities, deleted membership records and security or audit records may be retained longer where needed to prevent unauthorised restoration, investigate misuse, keep an accurate history, resolve disputes or establish and defend legal claims.
Billing, invoice, refund, dispute and transaction records are retained for the periods required by tax, accounting and other applicable laws.
Invitations, activation links and password-reset links expire automatically, although limited records of the related account or security event may remain.
Contact and support correspondence is retained only while needed to answer the enquiry, maintain a reasonable support history, handle complaints or legal claims, and meet legal obligations.
Technical logs are kept for a limited period determined by security, troubleshooting and provider configuration needs.
We may preserve information for longer where required by law, a dispute, fraud prevention, a legal hold or a regulator. We delete or anonymise it when the relevant purpose ends. Backup copies may persist until they are securely overwritten in the ordinary backup cycle.
8. Cookies and similar technologies
Maths Launch uses strictly necessary authentication and security cookies to sign users in, maintain a secure session and protect the service. These are required for the online service requested by the user and cannot be disabled through a Maths Launch preference control.
The Contact page uses Cloudflare Turnstile. Turnstile runs browser and device checks and returns a short-lived security token so we can distinguish people from automated abuse. The current integration does not enable Turnstile pre-clearance. We do not currently use advertising or optional analytics cookies. If that changes, we will provide clear information and obtain consent where required before setting them.
9. Security
We use proportionate technical and organisational measures including encrypted connections, managed authentication, signed and expiring links, access controls, database row-level security, restricted service credentials, rate limiting and security logging. No internet service can guarantee absolute security. Please contact us promptly if you suspect unauthorised access to an account.
10. Your data-protection rights
Depending on the circumstances, you may have the right to:
be informed about how your personal information is used;
request access to a copy of it;
ask us to correct inaccurate or incomplete information;
ask us to erase information or restrict how it is used;
object to processing based on legitimate interests;
receive information you provided in a portable format where the right applies; and
withdraw consent at any time where processing is based on consent.
These rights are not absolute and exemptions may apply. To make a request, email contact@mathslaunch.com. We may need to confirm your identity and may consult your school where it controls the relevant account information.

12. Changes to this policy
We may update this policy when the service, providers or law changes. The current version will be published here. We will give appropriate notice of material changes where required.
